Ordering meeting snack boxes: an organiser’s checklist
Share your date, required arrival time, quantity, budget and location first. Ask the shop to check the selection, availability and total before confirming. Mark undecided details clearly so administrators, HR and purchasing teams can compare like for like.

Separate arrival time from serving time
If the meeting starts at 09:00 and the break is at 10:30, share both times and the building’s delivery window. Do not assume the meeting start is the delivery time. Ask about preparation and storage for the actual selection; a photograph does not establish shelf life.
Give an estimate and a final-count date
Include guests, speakers and staff who need a box. If attendance is pending, provide an estimate and a final confirmation date. Agree any reserve with the organiser instead of applying a fixed percentage. Ask the shop to confirm minimums and capacity; an inquiry is not a reservation.
Define what the budget includes
State whether the budget includes drinks, packaging, delivery and any applicable tax. For two breaks, list quantities and budgets separately and say whether the menu may vary. This avoids quotations based on different assumptions.
Discuss documents and food restrictions early
Ask the shop to confirm document types, organisation details and payment requirements before adding them to purchasing commitments. For allergies, identify ingredients to avoid and ask about recipes and preparation. Thai desserts are not automatically free from milk, egg, wheat or cross-contact.

Frequently asked questions
Can I inquire before the count is final?
Yes. Share an estimate and a final-count date. Ask the shop to check options and terms; an inquiry does not reserve the date.
How much advance notice is needed?
Ask the shop to check the selection, quantity and required date. Another vendor’s lead time or an old article does not confirm availability.
Are all company documents available?
Specify the documents you need and obtain confirmation before ordering. A receipt and a tax invoice are not interchangeable.

How to budget a meeting break before requesting approval
Multiply the boxes needed for each break by the selected unit price, then add drinks, extras, delivery and confirmed applicable tax. Avoid counting items already included in the package twice. Menu prices are a starting point; confirm the event total with the shop.
