THE MEETING NOTES

How to budget a meeting break before requesting approval

Multiply the boxes needed for each break by the selected unit price, then add drinks, extras, delivery and confirmed applicable tax. Avoid counting items already included in the package twice. Menu prices are a starting point; confirm the event total with the shop.

Count boxes, not just attendees

Fifty attendees with one box each need 50 boxes. One box in both morning and afternoon means 100 before staff or agreed reserves. List each break separately so menus and delivery arrangements can be assessed.

Illustrative calculations for 30, 50 and 100 boxes

For arithmetic only, assume 60 baht per box: 30 boxes cost 1,800 baht, 50 cost 3,000 and 100 cost 6,000. The assumed 60 baht is not the shop’s price or quotation. These totals exclude extras, delivery and tax. Substitute the current selected price and obtain confirmation.

Identify what is already included

List the package, pieces, drinks and sizes, packaging and extras. Do not add an included drink twice. Recheck totals after substitutions. Two prices per box are not comparable until you know the contents.

Leave room for delivery and changes

Share the building pin and arrival window for a delivery assessment. Ask about separate trips, special handover requirements and count changes. Do not enter zero delivery cost without confirmation. Ask about documents and tax rather than assuming the shop’s tax status.

Check the total and quotation validity

Keep the total, count, date, location, payment terms and final-count deadline together. Show the approver any outstanding questions. Reconfirm the quotation if the date or menu changes after approval.

Frequently asked questions

Is cost per person the same as cost per box?

Only when each person gets one box with equivalent inclusions. Multiple breaks or separate drinks require a full count and cost calculation.

Can I order at the example price?

No. The example illustrates arithmetic. Choose current products and ask the shop to confirm the event total.

Where should I start if the budget is tight?

Share the budget limit and actual count. Ask about menu, drink and presentation options while checking equivalent inclusions.
